Equipment and Data Policy

The following is our hardware, software and data policy that all UW COE faculty, staff and students are to be aware of and accept prior to using any equipment of software that has been state funded for UW work related usage.

By accepting equipment that has been purchased or loaned out for work/student usage via UW and COE funding, you agree to the following terms, rules and responsibilities as the ​custodian and user of the equipment that is being loaned to you from UW ​CoE ​Help Desk:

1) Please use professional discretion while you are the custodian of COE loaned equipment, they are state funded work resources.

2) You are to make best efforts to minimize physical damage to the equipment while loaned to you, as well as prevention of theft of equipment.

3) As local power user/admin on certain computers, you are personally responsible for your data’s integrity and security as well as software stability by following the guidelines below. This especially applies to mobile laptop/tablet users:

  • The CoE Help Desk can provide information for backing up personal data using FERPA compliant Google Drive, Microsoft OneDrive cloud services and/or an external hard drive. Dropbox, Sugar Sync and others are not UW FERPA approved data storage and backup cloud services.
  • Be informed and follow UW policy with computer security, software updates and data protection. Policies page
  • Proper password creation and usage. Review some best practices
  • Know the dangers of phishing and to prevent it from happening. Examples
  • Knowing proper and safe usage of social media outlets. CISO recommendations

4) Understand and accept that using state property, YOU ARE​ fully responsible for your data’s integrity and security by using the methods and practices outlined above.
